Job Description

Scope: 
We are seeking a highly motivated and organized Marketing Assistant to join our office-based marketing team. This position is essential to supporting the smooth execution of marketing campaigns, managing systems, and ensuring operational efficiency. This role is ideal for someone who thrives in a fast-paced environment, has a passion for marketing, and excels in data management, administrative tasks, and process optimization. 

Hours:
8:00am to 5:00pm (EST) Monday-Friday. This position requires at least 3 days a week in the Lake Mary, FL office.

Education:
HS Diploma/GED required; some college or higher education preferred.

Experience:
1-3 years of experience in the following:
  • Business Writing, Communication, Creative Design/Marketing background is beneficial.
  • Previous experience in an administrative or marketing role.
  • Basic understanding of social media platforms, digital marketing strategies, or event coordination.
Requirements/Skills: 
  • Strong time-management skills, with the ability to multitask effectively. 
  • Exceptional organizational skills and attention to detail. 
  • Excellent written and verbal communication skills. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with marketing tools such as HubSpot, Canva, and Constant Contact. 
  • Team player with a proactive attitude and willingness to learn. 
  • Good organizational skills and time management.
  • Excellent verbal and written communication skills.  
  • Ability to handle difficult situations tactfully and diplomatically.   
  • Effective problem solving and decision-making skills.  
  • Strong computer skills with proficiency in MS Office Suite products (Word, Excel, PowerPoint).

Duties and Responsibilities:  

  • Campaign Support: Assist in tracking marketing campaigns across various channels including email, social media, and digital advertising platforms. 
  • Content Coordination: Collaborate with the marketing team in proofreading, formatting, and publishing marketing materials.  
  • Event Logistics: Provide support for in-person and virtual events, including webinars and conferences, by managing registrations, planning logistics, and coordinating follow-up communications. 
  • Data Management: Maintain and update marketing databases, including updating contact lists, organizing assets, and ensuring data accuracy for reporting and campaign efficiency.  
  • Process Improvement: Help streamline workflows to enhance consistency, accuracy, and operational efficiency within the marketing team. 
  • Budget Tracking: Assist in monitoring marketing budgets, reconciling invoices, and tracking expenses to ensure alignment with financial goals. 
  • Vendor Coordination: Liaise with external vendors and suppliers to ensure timely delivery of marketing collateral and services. 
  • Reporting and Analysis: Track key marketing metrics and compile reports to measure the effectiveness of campaigns and projects. 
  • Administrative Support: Manage schedules, coordinate meetings, and handle general administrative duties to support the marketing team’s operations. 

Work Environment / Physical Demands: This position is in a typical office / home office environment which requires prolonged sitting in front of a computer. Requires hand-eye coordination and manual dexterity sufficient to operate standard office equipment including operation of standard computer and phone equipment.
